TITLE:                                   Receptionist/Data Entry

 

SUPERVISOR:                    Site Administrator

 

CLASSIFICATION:             Regular Full-Time Program Year Employee, Bargaining Unit

 

 

POSITION SUMMARY:

 

Performs clerical duties including receiving visitors, answering telephones, data entry, filing and other basic tasks.

 

DUTIES AND RESPONSIBILITIES:

     

  1. Screens and appropriately directs calls, takes messages.
  2. Receives and distributes interoffice mail to the appropriate location.
  3. Maintains center’s office supply inventory, checking stock to determine inventory level (anticipating needed center supplies).
  4. Performs light clerical duties such as typing of documents, copying, faxing, filing and mass mailings with Site Administrator’s approval.
  5. Receives visitors and provides information on the program’s services at the center.
  6. Maintains necessary paperwork such as visitor log, parent sign-in/sign-out, and any other required documentation.
  7. Maintains confidentiality of all client, staff and agency-related data in accordance with Agency policies and maintains an environment of confidentiality for all visitors.
  8. Maintains a clean, safe and organized office.
  9. Processes and delivers outgoing mail.
  10. Submits accurate and complete time sheets to supervisor bi-weekly or as requested.
  11. Promotes Lake-Geauga United Head Start, Inc. in the community and recruits children for the program as appropriate.
  12. Encourages in-kind donations through communication with the parents or community.
  13. Attends training and meetings as required by program calendar, supervisor, Executive Director, or professional development plan or as required by state or federal law.
  14. Other duties as assigned.
  15. Mandatory participation in annual self-assessment if selected

3.                  Employee must be able to:

·        Lift at least 50 pounds

·        Reach above head with both arms

·        Sit for extended periods of time

·        See and hear without significant impairment

·        Bend without trouble

·        Walk without trouble

·        Read and write

·        Use basic equipment such as a telephone and photocopier

·        Pass employment physical, including TB test every two years

·        Pass initial and regular drug and alcohol screens

 

 

WORKING CONDITIONS:

 

The normal work routine involves no exposure to blood, body fluids or tissues (although situations can be imaged or hypothesized under which anyone, anywhere might encounter potential exposure to bodily fluids). 

 

MINIMUM QUALIFICATIONS:

 

1.         GRADE I:             High School Diploma or equivalent

GRADE II:            High School Diploma or equivalent with 2 years vocational training

GRADE III:            One year post-high school business school

2.                  Clean criminal background supported by background check (fingerprints)

3.                  Eligible to work in the U.S.

4.                  Completed first aid, communicable disease and CPR courses, or ability to    complete courses.

 

 

 

SALARY RANGE:  

 

Refer to current Bargaining Agreement and/or subsequent wage re-openers to current agreement.
